Doesn't HubSpot Breeze already do this?

Breeze is good, and it is grounded in your CRM records and HubSpot's own Academy content — it will tell you what a deal stage is and what is on a record. It cannot tell you that your company requires regional-manager sign-off above 10%, because that rule lives in a Google Doc it has never seen. Handrax is grounded in your SOPs, and it points at the field on screen while it explains. If your question is “how does HubSpot work”, use Breeze. Ours is “how do we do this here”.

How is this different from asking ChatGPT?

ChatGPT is a confident stranger: it will describe how a typical company handles a discount approval, which is exactly the answer that gets someone in trouble. Every answer here cites the document it came from, and when the documents do not cover the question it refuses and files the gap instead of guessing. The refusal is the feature — it is why an ops lead can let their team use this unsupervised.

What if the answer is wrong?

Then it is wrong in a way you can trace: every answer names its source document, so your ops lead checks the doc rather than arguing with a black box. Before any team goes live we run their own top-20 real questions as a test suite, including questions their documents deliberately cannot answer, and we do not schedule the rollout call until it passes. That threshold is calibrated against their corpus, not a number we picked.

We don't have proper documentation. Is this useless to us?

Almost nobody does — it is usually a mix of half-finished docs, a wiki nobody updates and three people who know everything. Send what exists; the product will start refusing the questions it cannot answer, and the weekly report tells your ops lead exactly which five gaps are worth writing down. Most teams find the list is much shorter than they feared, because the same handful of questions is what keeps getting asked.

Where does our data go?

Your documents are stored in an EU-hosted database and are only ever retrieved for your own workspace. Answering a question sends the relevant excerpts to our model provider, which does not train on them. The subprocessors and where each one runs are listed in full on the privacy page — including the ones outside the EU, because a security reviewer will find them anyway and would rather we said so first.

What happens when we cancel?

Delete the workspace and the index goes with it — documents, chunks, question history, all of it, no soft-delete and no retention period we forgot to mention. The pilot is four weeks and month-to-month afterwards — 30 days' notice to end it, no minimum term and nothing to escape. The terms say the same thing in the same words.
